Acceptable Use & Anti-Spam Policy
Effective date: October 21, 2026 • Version 1.0 (Draft — Pending Review)
Notice Regarding Platform Intent & Enforcement
PlusMail enforces a zero-tolerance policy against spam, phishing, unauthorized bulk messaging, and deceptive header spoofing. This document governs all outbound email traffic routed through PlusMail and our upstream cloud infrastructure (including Amazon SES). Violations result in immediate suspension.
1. Purpose & Scope
The purpose of this Acceptable Use and Anti-Spam Policy ("Policy") is to protect the reputation of our sending IP addresses, ensure high inbox deliverability for legitimate transactional messages, and protect email recipients across global networks from unwanted, deceptive, or harmful communications.
This Policy applies to all customers, users, developers, and organizations utilizing PlusMail web applications, APIs, SMTP relays, or underlying delivery infrastructure.
2. Absolute Prohibition of Unsolicited Email
PlusMail strictly prohibits the sending of Unsolicited Commercial Email (UCE) or Unsolicited Bulk Email (UBE), commonly referred to as "spam".
You May NOT Use PlusMail To:
- Send email to recipient lists that were purchased, rented, leased, scraped from public websites, or obtained from third-party data brokers under any circumstances.
- Send messages to recipients who have not given direct, explicit, affirmative, and verifiable permission to receive communications from your organization.
- Use role-based addresses (e.g.,
admin@,info@,support@) without prior affirmative opt-in. - Re-engage inactive contacts who have not engaged with your service for more than six (6) months without prior reconfirmation.
3. Permitted Transactional Use Cases & Marketing Requirements
PlusMail is optimized primarily for mission-critical transactional email workflows.
Permitted Transactional Messages include:
- User account verification codes, multi-factor authentication (MFA) tokens, and magic login links.
- System security notifications, device login warnings, and password reset requests.
- Purchase receipts, payment invoices, and order status notifications.
- Direct, user-initiated communications between organization members and individual clients.
Requirements for Marketing or Bulk Email (if permitted):
- Every marketing message must include a clearly visible, functional, one-click Unsubscribe link in the email footer and a valid
List-Unsubscribeheader. - Unsubscribe requests must be honored automatically within 24 hours of submission.
- A legitimate physical postal address or registered business address must be clearly displayed in the email body.
4. Prohibition of Deception, Spoofing, and Harmful Content
You may not use PlusMail to dispatch or facilitate any message that contains:
- Deceptive Headers or Spoofing: Falsifying sender identities, creating mismatched
From:addresses, or disguising origin servers. Outgoing domains must match authorized cryptographic identities (SPF/DKIM/DMARC). - Phishing & Social Engineering: Attempting to harvest credentials, financial data, personal passwords, or private information under false pretenses.
- Malware & Exploits: Transmitting viruses, trojans, worms, malicious scripts, spyware, or ransomware attachments.
- Illegal, Fraudulent, or Predatory Content: Promoting pyramid schemes, unlawful gambling, illegal pharmaceutical distribution, deceptive get-rich-quick schemes, or prohibited goods.
5. Bounce, Complaint, and Suppression List Management
To maintain high reputation scores with major mailbox providers (Gmail, Microsoft 365, Yahoo, Apple Mail), PlusMail implements rigorous automated feedback processing:
Bounce Thresholds (< 5%)
Accounts must maintain a bounce rate strictly below 5%. A hard bounce rate exceeding 5% indicates poor list hygiene and will trigger automatic review; rates exceeding 10% will result in automatic suspension.
Complaint Thresholds (< 0.1%)
Spam complaint rates must remain strictly below 0.1% (1 complaint per 1,000 sent emails). Complaints reaching 0.1% trigger delivery throttling; rates exceeding 0.5% result in immediate termination.
Automated Suppression List: When a recipient returns a permanent hard bounce (5xx SMTP status code) or files a spam complaint through mailbox provider Feedback Loops (FBL), PlusMail automatically places that recipient address onto a global tenant suppression list. Future attempts to send to that address are automatically blocked at the API gateway.
6. Rate Limiting and Proactive Monitoring
PlusMail applies sending rate limits based on account verification tier, sending history, and reputation scores. These limits prevent sudden volume bursts that could degrade shared reputation or indicate compromised credentials. We monitor sending activity using automated anomaly detection.
7. Suspension, Throttling, and Termination
If PlusMail determines or suspects that an account has violated this Policy, we reserve the right to take immediate action without prior notice, including:
- Throttling outbound sending rates.
- Pausing or suspending sending privileges for specific domains or entire accounts.
- Terminating service agreements and reporting severe abuse to upstream providers and law enforcement.
8. Reporting Abuse or Policy Violations
If you have received unsolicited email originating from PlusMail infrastructure, or suspect an account is engaging in phishing or policy violations, please report it immediately to our dedicated abuse desk.
9. Modifications to this Policy
We may update this Acceptable Use and Anti-Spam Policy from time to time to reflect evolving industry standards, legal mandates, and upstream provider requirements. Continued use of PlusMail following any modifications constitutes acceptance of the revised policy.
